What the labels mean

Reconcible labels any figure that isn’t a settled value, and says why. Here is every label, where you’ll see it, and what it means.

Costs and margin

LabelWhat it means
Everyday Cotton Tank Top cost estimatedProduct rows, order linesThe cost is an estimate: imported from your store’s cost field, or the most recent purchase’s cost used because purchases didn’t cover every unit sold. The margin is shown, and it moves when a purchase covers these units.
Classic Cotton Kurta cost unknownProduct rows, order linesThere’s no cost data for this product at all.
Margin % unavailableWherever a margin would beA margin can’t be worked out without a cost, so none is shown. Without this, a missing cost would count as free and read as a 100% margin. On an order, it appears if any line’s cost is unknown.
COGS partly estimated, partly unknownOrder detailSome lines on the order have estimated costs and some have none. The order page lists every reason under Estimated figures.

Fees and shipping

LabelWhat it means
Gateway fees estimatedDashboard, order detailNo gateway data covers these orders, so a flat estimated rate stands in. The order page says so: “Gateway fee is a flat estimated rate, not a settled fee: no gateway transaction data is connected yet.” Once the gateway reports the fee, the real one replaces the estimate: “Gateway fee is the settled fee for this order, not an estimate.”
Shipping cost not trackedDashboard, order detailWhat you pay to ship isn’t tracked yet. It counts as $0.00, never as the amount the customer paid for shipping.

Out of date: waiting to be recalculated

When a cost changes after sales were already costed, the figures for those dates still use the old cost. Reconcible flags them instead of leaving them silently wrong. It happens two ways:

  • a purchase is entered with a date earlier than sales that were costed without it;
  • a product’s estimated cost changes after sales were costed at the old figure.

The dashboard then shows a banner like this one, with the dates and the products affected:

Figures for three days are out of date. A purchase was entered with a date earlier than sales that had already been costed without it. Cost, profit and margin for these dates still use the costs from before that change. Reconcible will recalculate them automatically.

Dates: 10 Aug 2026, 12 Aug 2026, 16 Aug 2026. Products: Casual Polo Sweatshirt (SWT-002), Everyday Cotton Tank Top (TAN-001).

The dates and products above are an example.

An order placed on one of those dates carries the same banner on its own page, for its own products. When you save a purchase that causes this, the confirmation tells you how many days it marked out of date. Reconcible recalculates those dates automatically. The banner’s last sentence says whether that is waiting, running or has failed, and it never promises when it will finish.

Coverage: how current a figure is

LabelWhat it means
completeDaily P&L tableEvery source the day needs has data covering it, with no gaps.
partialDaily P&L tableThe day is covered, but a source has a known gap inside it, or a source it needs isn’t connected.
staleDaily P&L table, dashboard noticeA source is further behind than it should be. The figures may move when the next roll-up runs.
Stale more than 2 hours since the last runSync statusOrder sync hasn’t run for over 2 hours. The nightly check is stale after 48 hours.

Coverage is worked out from the newest data actually present from each source, not from whether a sync reported success.
