Getting started

From requesting access to your first reconciled period. The first sync of a store with a lot of history takes a while. During early access, we can go through these steps with you on a setup call.

  1. Request early access. Tell us about your store on the early access form. We reply within two working days, and if your store is a fit for this first group, we approve your email address.
  2. Sign in with your email. Once we’ve approved your email address, go to app.reconcible.com, enter that address and open the link we send you. There’s no password.
  3. Name your organisation. An organisation holds your stores.
  4. Add your store. Enter its web address first, and Reconcible checks that it’s a WooCommerce store. Then give it a name and its base currency: USD, GBP, EUR, AUD, CAD or INR. Reports and reconciliation for the store are in that currency.

    You’ll also be asked Will you import bank statements? Gateway payouts is preselected. Choose Yes only if you’ll import bank statements; otherwise every period would wait for a bank check that never runs. You can change the answer later on the store’s Bank import page. See payout or bank scope.

  5. Approve read-only access in WooCommerce. Reconcible sends you to your store’s own WooCommerce screen to approve it. There’s no key to copy. When you come back, the first sync starts. See Connecting your store.

    New orders then arrive within the hour. If you want them within a minute, add the optional Reconcible Connector plugin and pair it with a one-time code from Connections. See the plugin.

  6. Connect your payment gateways. From Connections, add WooPayments, PayPal or both. Until a gateway is connected, fees are estimates and orders can’t be matched to payouts.
  7. Check that your data is current. Sync status shows when orders last synced, how many records came in, and any errors.
  8. Tell Reconcible what your stock cost. Enter purchases under Purchases, with freight, duty and handling. See Cost of goods.
  9. Add your overheads, if you want daily net profit. Rent, software and salaries go under Fixed costs, spread evenly across each day.
  10. Open the dashboard and Reconciliation. The dashboard has the month’s profit, a daily P&L and margin per product. Reconciliation shows what matched and what needs you. Matching runs by itself after each payment-provider sync.

What you’ll see first

On day one, some figures carry labels: a cost marked estimated, a margin that reads unavailable, gateway fees that are estimates. That’s expected. Each label says what’s missing, and it goes away when the data arrives: a purchase for that product, a connected gateway. What the labels mean covers every one.

Reconcible only ever reads from your store and your gateways. It never changes an order, a product or a payment.
