Connecting your store

Reconcible reads from your WooCommerce store, WooPayments and PayPal, and from bank statements you import. It never writes to any of them.

Everything you connect is read-only. Keys and secrets are stored encrypted, and one you paste is never shown back to you, not even on an error page.

WooCommerce

You connect your store by approving read-only access on WooCommerce’s own screen. WooCommerce creates a key for Reconcible and sends it to us directly, so there’s no key to create, copy or paste.

  1. Add your store. Start with the address customers visit. If WordPress is in a folder, include it (https://example.com/shop). Reconcible checks that it’s a WooCommerce store before anything else, then asks for a name and a base currency.
  2. Approve read-only access. Select Approve access in WooCommerce. You go to your store’s WordPress admin, signed in as an administrator or shop manager, and approve read-only access there.
  3. Watch the first sync. Back in Reconcible, the page shows product costs being imported, then your orders. It usually takes a few minutes, and you can leave the page.

When it connects, Reconcible checks the currency your store sells in against the one you chose. If they differ, it stops and asks; while nothing has synced, you can change the store’s currency there and carry on. It also checks whether your store uses HPOS order storage or the older post storage, rather than assuming. Both work.

To replace the key, choose Reconnect on the store’s row in Connections. Your synced history stays, and the current key keeps working until the new one replaces it.

New orders within a minute, with the plugin

Without anything installed on your store, new orders reach Reconcible within the hour. If you want them sooner, add the Reconcible Connector, a small WordPress plugin. It sends each new order to Reconcible within a minute of it being placed. It only sends: Reconcible never changes your store. Profit figures still update every hour.

  1. Download the plugin. In Connections, open the plugin setup from your store’s WooCommerce row and download the Reconcible Connector.
  2. Install it. In WordPress, go to Plugins → Add New Plugin → Upload Plugin, choose the file, then Install Now and Activate.
  3. Pair it. Copy the one-time pairing code from the same page in Reconcible and paste it under WooCommerce → Reconcible. A code works once, only for that store, for 30 minutes.

Reconcible makes a signed check of your store before it accepts anything from the plugin, and it refuses orders sent from any other site, so a staging copy of your store sends nothing. You can stop accepting the plugin’s orders from the same page at any time, and new orders then arrive within the hour again. To stop the plugin sending, deactivate it in WordPress too.

What keeps your data current

  • Every hour, Reconcible checks your store for orders changed since the last run.
  • With the plugin paired, each new order also arrives within a minute. If the hourly check finds new orders the plugin should have sent, Connections says so.
  • Every night, it compares order counts and totals with your store’s own and records any difference.

Sync status shows when each of these last ran. Order sync is marked stale after more than 2 hours without a run, and the nightly check after more than 48 hours.

WooPayments

WooPayments needs no key of its own. It lives on your store and Reconcible reads it through the store’s WooCommerce connection, so connecting it only checks that WooPayments is installed and responding.

  1. Open Connections, find WooPayments under Add a connection, and choose the store.
  2. Select Connect WooPayments.

PayPal

  1. Create a REST app. In the PayPal developer dashboard, go to Apps & Credentials, open your app, and copy its client ID and secret.
  2. Turn on Transaction Search for the app. This is the permission Reconcible reads settlement data through. Without it, PayPal accepts the credentials but refuses every reporting request.
  3. Add it in Reconcible. Under Connections, choose the store, paste the client ID and secret, and say which environment they’re from: Sandbox or Live. There’s no default. A sandbox credential sent to the live service fails exactly like a revoked secret, and a wrong default would send you to replace a credential that was never broken.

PayPal can take up to nine hours to apply Transaction Search after you turn it on. A refusal in that window is expected. Check again later instead of replacing the credential.

Bank statements

If you reconcile to your bank, import statements under Bank import, as CSV or OFX (.csv, .ofx, .qfx).

Every bank lays out its CSV differently, so the first time you import from a bank you create an import profile: which column holds the date, the description, the reference and the amount, how dates are written, and how the file separates columns and decimals. After that, the profile is reused. OFX files need no profile.

Lines you’ve already imported are skipped, and when the file carries a closing balance, Reconcible checks that its lines add up to it.

Connection status
